Guiding Principles

Membership

An adult who is forty-nine years of age or older in the calendar year of the baseball season, has paid his/her financial dues, has an active SPO membership, and has been approved by the executive is eligible for membership.

  Note: If a person receives a leave of absence for a season or longer and gives notification that he/she wishes to return to the league, this individual will be placed at the top of the waiting list.

 

Code of Conduct

As a recreational senior-softball league we have instituted a Code of Conduct to govern the operation of our league. Code of Conduct details can be found on the League Playing Rules page, but the main emphasis is on consideration and respect for all involved with our league.

 

Elected Officers

The following officers shall be elected annually, by ballot, at the Annual General Meeting: President; Vice President; League Captains.  No person may hold the same elected position for more than two consecutive years unless moved and approved at the Annual General Meeting.

 

Appointed Officers

The Secretary, Treasurer, and League Director shall be appointed at the Annual General Meeting. There is no limit placed on these yearly appointments.

 

Executive

1: The Executive shall consist of the President, Past President, Vice President, Secretary, Treasurer and League Director

2: Three members shall constitute a quorum and all members shall be entitled to vote.

3: The Presiding Officer at Executive meetings may be the President or Vice-President.

4: The Executive is authorized to operate the organization on behalf of the membership.

 

President

  1. The President shall call meetings to discuss matters of concern to the organization and preside at   these meetings.
  2. He is to co-ordinate all organization matters and ensure our good reputation is maintained.
  3. The President organizes the Year End Party/Golf and Annual General Meeting.

Past President

The Past President is the liaison between the Executive and the League Committee.

 

Vice-President

The Vice-President shall perform the duties of the President in his/her absence and any other duties designated by the President.

 

Secretary

  1. The Secretary is responsible for the organization and filing of all written material.
  2. He is to record the minutes of Executive and Annual General Meetings; prepare agendas and reports; receive all protests, and make all meeting arrangements on behalf of the Executive.

 

Treasurer

  1. The Treasurer shall keep an accurate record of all the monies received and disbursed; sign all cheques that are issued; reconcile bank account monthly; pay all invoices approved by the Executive and maintain an invoice file; arrange an annual audit; prepare financial reports as requested by the Executive and prepare a financial statement for the Annual General Meeting.
  2. He/She is to keep the organization’s monies in an exclusive bank account.
  3. Provide accurate facts on which the Executive can plan and make decisions.

 

League Committee

1: This committee is composed of the Executive, League Director, and League Captains.

2: The individuals on this committee are to meet as necessary to plan the successful operation of league play. Normally a meeting in the Fall and another in the Spring are convened to prepare for the upcoming season.

 

League Director

  1. This person presides over the League Committee meetings.
  2. register all players with SPO
  3. The League Director is responsible to secure facilities and equipment; obtain umpires; to chair the league draft and re-balancing meetings; and draft league and playoff schedules.
  4. Resolve, if possible, or escalate Code of Conduct violations.

League Captains

  1. The League Captains are charged with the responsibility to lead each team in accordance with the Dorchester Canadians Guiding Principles.
  2. Carry out league matters as directed by the Executive or League Director.

Rules Committee

The Executive shall serve as the Rules Committee. Any proposed additions or amendments are to be presented at the Annual General Meeting.

 

Discipline Committee

The Executive shall serve as the Discipline Committee, unless they delegate that responsibility to a select person or select group. This committee will receive Letters of Complaint from the League Director, review the complaint circumstances, and deliver a ruling and penalty as appropriate.

 

Nominating Committee

The Nominating Committee shall be composed of the President, Past President and one other league member. These three people are to obtain a slate of officers to be presented to the Annual General Meeting for consideration.

 

Annual General Meeting

  1. The AGM will be held each year at the conclusion of the playoffs.
  2. Each Dorchester Canadian member in good standing is entitled to one vote.
  3. Election and appointment of officers occurs at this meeting.
  4. Rules Committee recommendations are to be considered at this meeting.
  5. Any voting member may present a motion for consideration.
  6. All motions shall be decided by a majority. In the case of a tie the presiding officer shall have a second and deciding vote.
